MEI Office Administrator

Post Title: MEI Office Administrator

Location: Trowbridge

Line Manager: PA to CE/HR Coordinator

Contract: Contract runs until 30 April 2020 with the possibility of an extension

Hours: Full-time, 37.5 hrs per week

Salary: £19,154 per annum

About this role

MEI is an independent UK curriculum development body and a membership organisation for teachers. It provides a professional development programme to enhance teachers’ skills; provides tuition to students and raises awareness of mathematics among students, schools and colleges. MEI also manages the Advanced Mathematics Support Programme (AMSP), a government-funded programme that provides universal access to students who wish to study AS/A level Further Mathematics.

 

Job description

As part of an administration team based at our central office, you will play a vital role in MEI’s operation, providing effective support to its office administration systems. Your work will involve a variety of tasks that will involve liaison with internal and external staff.

 

Main duties and responsibilities

Office administration:

     
  • Deputising for the PA when absent – includes booking trains, hotels and organising meetings for the CE.  Receiving and replying to the office emails.
  • Answering the phone, dealing with general customer enquiries, whether solving the query or directing it to the appropriate member of staff
  • Issuing initial and renewal DBS instructions to MEI staff, Associates and third-parties, liaising with Cataphract and reviewing DBS tracking database to ensure checks are progressed and updating MEI’s databases with details.
  • Arranging hotels bookings, restaurant reservations and taxis
  • Booking venues for meetings
  • Preparing and sending post and assistance with large mailings
  • Website edits and updates
  • Updating MEI Intranet – includes uploading meeting papers & changing the directory, website & intranet when staff join or leave
  • Managing calendars for meetings
  • Clearing MEI spam junk email folders
  • Have a working knowledge of the Membership database
  • Other admin tasks of a similar nature
  • Annual MEI Conference:
  • First point of contact for queries regarding the MEI Conference
  • Distributing delegate and presenter joining instructions using mail merge
  • Liaising with presenters and staff regarding requirements
  • To have a knowledge of rooming allocation
  • Printing and organising resources for presenters, creating badges for all attendees
  • Attending the conference and providing admin support throughout the conference
  • Recording feedback and distributing summaries to presenters
  • Uploading session resources to website

Person Specification

  • IT literate with a good working knowledge of Microsoft Office applications.
  • Excellent organisation and interpersonal skills.
  • The confidence and ability to work flexibly and on your own initiative.
  • The desire and commitment to provide excellent service.
  • Able to provide effective support and advice by e-mail and telephone, with a good standard of English and a confident and courteous manner.
  • Able to plan, prioritise and organise work, and to use initiative in solving problems.
  • Able to work well in a team and willing to support others with a wide range of tasks.
  • Self-motivated. Quick to learn and willing to develop new skills.
  • Willing and able to undertake occasional visits to other locations.
  • Previous experience in a similar role would be an advantage, as would experience of working in an educational setting and an interest in mathematics and/or education.
